1、标准部分

商务信函属于商务礼仪文书范畴,是指企业与企业之间,在各种商务场合或商务往来过程中所使用的简便书信。其主要作用是在商务活动中用来建立经贸关系、传递商务信息、联系商务事宜、沟通和洽商产销;询问和答复问题、处理具体交易事项。其种类包括联系函、推销函、订购函、确认函、索赔函等多种。
文种特性
〔一)语气口语性
每一封商务信函的往来都是不同的企业之间或者企业领导者彼此之间的一种情感交流。人都是感性的,所以商务信函更多地体现了感性的一面。而不是人们想象的商务信函应该用一种特殊的“生意腔”,信函读起来使人感到非常热情、友好,就像朋友之间的谈话那样简单、自然、人性化。无论是歉意的道歉函,还是善意的劝说函,或者购买函,完全可以通过信函中的语气、语调来表现。
(二)内容直接性
企业每天都要阅读大量信函文件。商务信函不需要用华丽的词句。所以,商务信函要写得简明扼要,短小精悍,切中要点。用简洁朴实的语言来写信函,使信函读起来简单、清楚、容易理解。当涉及数据或者具体的信息时,如时间、地点、价格、货号,等等,要用语精确,使交流的内容更加清楚,这更有助于加快商务活动的进程。
(三)态度真诚性
商务信函要能够充分体现真诚、礼貌。不管说什么,都要带着诚意去说。把写好的商务信函拿起来读一遍,确保如果此时对方正在电话中与你通话,他一定能够感受到你的自然、真诚和礼貌。这里所说的礼貌,并不是简单用一些礼貌用语,而是体现了一种为他人考虑,多体谅对方心情和处境的态度。
(四)主旨单一性
商务信函具有纯粹的业务性,一般要求专文专事,内容集中单一,围绕公务,突出主旨。
(五)格式规范性
商务信函结构类似于一般的书信,有称呼、有正文、有署名。外贸商务函、电的写作则必须依照国际惯例,用英语或对方国家所使用的语言书写,在文法和书写格式上也要符合对方的语言规范和习惯。
(六)地位平等性
商务信函是两个平等法人之间的往来文书,反映双方平等、互惠互利的关系。商务信函的写作应相互尊重,以礼相待。
(七)要求时限性
商务信函是在商务活动的每个环节中形成的,每封信函都是一定时限内的`双方意愿的明确表达。因此,接收对方的信函后必须及时回复。目前,信函的传递越来越多地使用图文传真、电子邮件等快速传递形式,以适应这一特点的需要。
商务信函一般由三部分组成:信头、正文、信尾。
(一)信头
信头即信函的开头,由发信人名称及地址、标题、函号、称谓、收信人地址和单位等组成。
1发信人名称及地址
发信人名称及地址一般写明发信人企业单位名称及详细地址。还包括电话号码、电报挂号、专用电码、电传、传真、网址等商务联系信息。
2.标题
作为商务信函,它与一般的普通信件不同,只要不是企业单位个人与个人之间的交流,商务信函一般可以有标题。标题位置在信文首页卜方,居中书写,其内容是标明事由。事由要求概括出函件的主旨、中心,使收信人通过标题就对信文的主要内容有大致的了解。常见的商务信函标题有以下两种形式:
(1)由事由加文种名称“函”构成,如“关于要求承付打印机货款的函”、“推销函”、“订购函”、“索赔函”等。
(2)先写“事由”二字,加冒号提示,然后直接标写该信函的内容,如“事由:机动车索赔”。
3函号
函号即编号,分为对方编号和己方编号。在外贸业务信函的信头上注明编号,可保证信函便于管理和查阅。
函号位置一般出现在标题右下方或信头的左上方。常见的有两种形式:一是仿效行政公文发文字号的格式,采用“x函〔xxxx〕x号”或(xxxx) “函第x号”的形式;二是采用直接编号的形式,如“第x号”。
4称谓
称谓是对收信人或收信单位的称呼,一般写受文者的尊称,这是商务信函必须的一项。其位置一般在标题或函号的左下方,单独占行,顶格书写,后面用冒号。书写时有以下两种称谓:
(1)泛指尊称。“尊敬的”后加称谓并加冒号,如“尊敬的先生”、“尊敬的女士”等。尊称中可以使用职务,如“尊敬的办公室主任”、“尊敬的财务部部长”、“尊敬的销售部经理”等。
(2)具体称谓。即具体指名道姓的尊称。在姓名后面加称谓语。这类称谓一般用于写信人与收信人彼此认识或者非常熟悉的情况。因为这种称谓能够体现写信人与收信人之间的情感与密切关系。称谓可用泛称中的“先生”、“女士”等,也可以使用职务,如“尊敬的办公室石主任”、“尊敬的财务部张部长”、“尊敬的销售部王经理”等。
5.收信人地址、单位
收信人地址、单位要写明收信人企业单位名称及详细地址。
(二)正文
正文是商务信函的主体,叙述商务往来联系的实质问题。正文写作要求内容单纯,一文一事,文字简明,事实有据,行文礼貌。
1问候语
问候语也即应酬语或客气语。开头的问候语是商务信函必不可少的,即发信人对收信人打招呼的礼貌问候语。一般用一两句尊敬的客气话表示,如“您好”,“近来生意可好,效益颇高”等。如果是初次联系,可使用“久仰大名,未亲雅教”等词语。如果是回函,可使用“惠书敬悉,不胜感激”等词语表示感谢来函。
2主体
主体是商务信函正文的核心内容,是发信人要说明的事项。不同的商务信函的内容是不同的。一般包括以下两个内容:
(l说明发函缘由。直截了当、简明扼要地说明发函的目的、根据、原因等内容;复函则要引叙对方来函要点,以示复函的针对性。
(2)说明发函事项。主体表达信函的中心内容,一般是根据发函缘由详细地陈述具体事项,或是针对所要商洽的问题或联系事项,阐明自己的意见。要求语气要平和,问题要明确,事实要清楚,表达要明白。如商洽函的正文主体包括商洽缘由、商洽内容、意愿要求三部分;询问函的正文主体包括询问缘由、询问事项两部分;答复函的正文主体包括答复缘由、答复内容两部分;商品报价函的正文主体包括产品的价格、结算方式、发货期、产品规格、可供数量、产品包装、运输方式等。
如果正文主体内容简单,逻辑上可采用篇、段合一式结构,如果正文主体内容较多,逻辑上可采用分段式结构。
3结尾语
正文结束以后,一般用精练的语言将主体所叙之事加以简单概括,并提出本函的有关要求,强调发函的日的。如请求函的结尾语是“拜托之事,承望协助解决为盼”,希望回函的结尾语是“不吝赐函,静候佳音”等。结尾语视发信人与收信人的关系以及信函的内容而定,要求恰当得体。
(三)信尾
信尾部分包括四部分内容。
1祝颂语
所有的商务信函都要写明祝颂语。祝颂语分为祝者自身的请候语和收信人的安好语两部分:
(1)请候语,在正文结束后空两格书写。常用的有“敬祝”、“顺颂”、“恭祝”
等。
(2)安好语,一定另起一行顶格书写,以表示对对方的尊重。常用的安好语有“商棋”、“金安”、“生意兴隆”等。
2签署
签署即发信人的署名或签名、用印。商务信函的署名可根据企业的要求或发信人的意见而定。有的企业署名以单位名称加盖印章的方式;有的企业要求发信人直接签名,以示对信函的内容负责。个人签名一定要由发信人亲手所签。
3日期
日期一般是发信具体时间。商务信函因为涉及商务业务往来,务必写明发信日期。一般采用以下三种形式:
(1)公文日期形式。即在信函签署下方用汉字小写写明发信日期,如xxxx年八月十八日。
(2)阿拉伯数字形式。即在信函签署下方用阿拉伯数字写明发信日期,如2008 年8月18日。
(3)国际标准简写法形式。即在信函签署下方用阿拉伯数字标记年、月、日,在一位数的月、日前加“0“,如08月18日。
无论哪种写法,日期务必写全,以便存档备查。如2008月08日,不能写成“08年08月08日”。
4附件
附件是随函附发的有关材料,如报价单、发票、确认书、单据等。如果需要标注附件的,在信函签署的下方可以标注附件。如果附件是两个以上的,要分别标注附件一、附件二等。

一、前言
随着我国对外开放政策的进一步贯彻,我国的对外经济交往和贸易业务必将有更大的发展。
在这些活动中,电子通信是一种先进的手段,管理信息系统为企业内部管理创造了良好的条件。
但书信往来仍不失为一个重要的工具。
商业英语书信(Business or Commercial English Correspondence)有时只称为Correspondence,是指交易时所用的通信。
在美国,常用Business Writing,它包括书信,电报电话、电传、报告书、契约书、明信片、回忆录,只要以商业英语表达的,均包含在内。
商业英语书信,以常用英语为基础,加入商业术语以及商业习惯用语所组成。
要熟练商业英语通信,通常从研究商业书信开始,依次研究其他文体。
本文以此为主题来探讨其撰写原则。
二、英语商业书信的撰写原则
(一)正确无误
商业书信必须写得正确。
正确不仅仅是指英语语法、标点符号、拼写等正确。
商业信件的内容叙述得正确,既不能有遗漏,也不能言过其实。
商业贸易离不开数字,对商业信件中的数字的正确性要特别加以注意。
商业书信中常常离不开商业术语。
一般常用的`商业术语用字简洁,意义明确。
使用得当,工作进行的顺利;使用不当,就会引起误解,造成混乱,甚至产生不必要的纠纷。
因此,必须正确理解和运用商业术语,力争商业信件正确无误。
(二)内容完整
一封信必须要绝对的完整确实。
当答谢来信时,最好提及那封信的日期、主要内容,甚至于编号。
同时回答来信所提出的全部问题及要求。
重要信更须注意完整和严谨。
例如,接受对方的报盘时根据是什么(如报价单,信件等),因为这种信实际上已是成交的合同,此信发出后,对方收到,即对双方都有约束力。
如果不完整,有漏洞,就有可能引起不必要的纠纷。
例如:
The goods you ordered have been ready. Please let us know when we can expect to receive the covering L\\C,upon receipt of which;we will effect shipment without delay.(你方订购的货物已准备好了。

(三)生动具体
信要写得生动、具体和明确。
特别是要求对方做出明确反应的信,或是报盘承诺等,避免含混模糊、笼统和抽象。
不过,并不是所有的商业信件都要具体。
在某些特定的情况下,不但允许一般化,而且笼统些反而更适宜。
有时,由于手头没有确凿的事实和数字,但为了“外交”、“策略”或交易的需要,也可以避免太具体。
有时,为了有意识地让对方发表或形成他的意见,或者这些具体事实或数字是否列明都无关紧要,也可以不必具体。
总之,该具体的具体,不宜具体的就笼统些,看需要而定。
所谓生动,就是将书信中要阐明的问题,活泼地表达出来,给看信者留下深刻难忘的印象。
如何给读者好的印象,设身处地为读者着想:他需要些什么?他希望些什么?他的利益何在?以及他的问题核心是什么?总之抓住对方的中心问题,把握对方的心理,且尽可能强调对方的重要性,说服对方,达到通讯的目的。
(四)谦虚有礼貌
我们对外所写的商业书信要体现我国外贸政策,做到不卑不亢、得体脱俗、落落大方。
既要遵守国际贸易习惯,又要维护我国利益。
借以通过商业书信来往,发展与各国人民的友好关系,开展同各国的经济贸易。
要谨防有意或无意泄露国家商业机密或其他机密。
书信内容以写得有理、有利、有节为秒、注意礼貌,不要盛气凌人,避免强加于人。
因此,要尊重对方,保持You-Attitude,多为对方着想。
英语的礼貌用语有很多,如:Would you like to?Thank you for…值得注意的是,Would you like to引起的许多句子不是文句,而是一种很有礼貌的请求,所以后面不要问号。
另外,礼貌也可说是一种策略。
如要告诉对方好消息时,采用直接法,一开始就把好的消息写出来;如果要告诉对方坏消息时,采用间接法,开头说点别的,作为“缓冲”,然后才把坏消息以适度准确的语言表达出来。
例如:
“Thank you very much for your interest in my work;and also thank you for your kind invitation. I do believe I have an opportunity of visiting and working in your laboratory at an appropriate time. I would make a general plan after I finish my current work at hand;and send a report to my institute if necessary. As to its feasibility and future information in connection with the joint research,I would get in touch with you as soon as possible.”此信用缓冲手段作为礼貌策略来减轻拒绝的强度,使收信人感到写信人是周到而体贴的。
缓冲作为礼貌策略的另一种作用是通过作者谦恭的话语来强调团结合作,以显得不那么粗鲁、武断、自负、无所不知,这会使双方感到更亲近,有助于建立和维持和谐关系。
如例句:“To maintain our plant’s peak efficiency,we are currently replacing some of our pasteurizing machine with newer models. I feel that the process of moving this heavy machinery into and out of the place may pose a safety hazard to any children present at the time”。
考虑对方的想法是对外贸易的重要原则之一。
我们在对外商业活动中,既要考虑本身的利益,又要换位考虑;跳出自我的圈子,寻求既不损害我方的利益,又有利于对方的路子,这才是上策。
在商业书信中要很好地表达这种观点。
例如:
We thank you for your letter of June 18 and have pleasure to inform you that the catalogue you asked for has been airmailed under separate cover. (你方6月来信已收到,谢谢。

We would like you to enquire into the financial and credit status of a firm in Milan on our behalf. (请代为查询一下米兰一家商行的财务和信用情况)。
谦虚在书信交往中也很重要。
谦虚会使你能委婉地推辞他人的要求,而仍然保持双方的友好关系,不影响日后的交易。
尽快回复要答复的信件,如果你无法立即回复查询的信件,最好先将原因通知对方,且告诉对方何时才能有结果。
此外,要尊重顾客的意见,即使顾客的建议非常愚昧,批评非常粗鲁,在回信时也不能“以牙还牙”,要控制自己的不良情绪,客客气气地回信。
其实投诉者是朋友,一位“老商业”说,投诉对商业来讲是很好的礼物,有利于捕捉商机,改进产品,抢占市场的制高点。
所以,要正确对待投诉,善待顾客。
(五)清楚简洁
清楚就是不含糊,能使对方一看就能完全了解你所要表达的意思,不致产生误解。
切忌生涩难懂,也不要追求豪华、美丽、哗众取宠的词语。
简洁是指简短利索,要长话短说,避免罗嗦和不必要的重复,用尽可能少的文字完整清楚地表达需要表达的意思。
以下例句中的第1句中有许多无意义的词和句子,显得混乱不清,而第2句则紧凑简洁。
